FOOD TRUCK VENDORS, this is what you need to know and what you need to do in order to participate in this event. We are excited to welcome you and your food truck to Pilgrim Congregational Church and to Oak Park, Il for Oak Park's Great Food Truck Rally 2017. This event was created in 2013 as a community "friend-raiser" by introducing food trucks to the area. Its popularity has continued to grow so spread the word.
1. WHO IS ELIGIBLE TO PARTICIPATE?
Any licensed food truck vendor from around Cook County is eligible to apply.
2. CAN'T I JUST SHOW UP?
NO, all participating Food Truck Vendors must be pre-approved. Food Trucks are generally NOT allowed on the streets of Oak Park except for sponsored events. If you attempt to sell anywhere in Oak Park other than these pre-approved sites, you are subject to be ticketed and shut down by the Oak Park Police.
3. IS THERE AN APPLICATION?
YES, an EVENT APPLICATION, [https://opfoodtruckrally.wufoo.com/forms/zu7ejsh0unirgu/] from Pilgrim Congregational Church MUST BE COMPLETED AND SUBMITTED NO LATER THAN April 30, 2017. You will be notified no later than April 30, 2017, if your registration is accepted.
A TEMPORARY FOOD PERMIT [http://www.oak-park.us/your-government/village-manager/forms] from the Village of Oak Park that MUST BE COMPLETED AND SUBMITTED NO LATER THAN MAY 11, 2017. PLEASE DO NOT SUBMIT YOUR PERMIT application to the Village UNTIL AFTER YOU ARE NOTIFIED OF YOUR ACCEPTANCE BY THE CHURCH.
4. HOW MUCH WILL IT COST TO PARTICIPATE?
The total cost is $225.
To help cover the cost of the Event, each participating Food Truck Vendor will be charged a fee of $125, made payable to Pilgrim Congregational Church, 460 Lake Street, Oak Park, Illinois 60302 - ATTN: Food Truck Rally Committee. Your application will not be considered complete until the fee is received. If your food truck is not selected to participate, your fee will be returned to you. NO REFUNDS WILL BE MADE TO APPLICANT FOOD TRUCK VENDORS AFTER MAY 1, 2016.
Participating Food Truck Vendors will also be required to obtain a Temporary Food Permit from the Oak Park Department of Public Health. The current fee is $100 and must be made payable to the Village of Oak Park. Your check or money order should accompany your permit application. Please submit applications early to ensure timely receipt of permits. An inspection will be conducted on the day of the event to ensure compliance with applicable food codes.
5. HOW MANY EATERS SHOULD I EXPECT?
We obviously cannot make any guarantees about the number of people who will attend and purchase food, HOWEVER the Rally has increasingly attracted more than three (3) thousand individuals each of the last four years.
6. IS THERE SOMETHING ELSE I NEED TO KNOW OR DO?
YES, ALL VENDORS MUST ARRIVE NO LATER THAN 2:30 PM on the day of the Rally to ensure the final inspection can be conducted by the Health Department and to allow the Event Crew to set up chairs, tables and other equipment before the opening hour.
ALL VENDORS MUST GUARANTEE THAT ENOUGH FOOD WILL BE AVAILABLE EITHER ON SITE OR OFF SITE WITH A RUNNER. No food truck will be allowed to leave the event for any reason until after the event is over. It is too dangerous to those attending and too disruptive to the event.
ZERO WASTE PROJECT: The church's Green Team introduced this project last year and because of its success, we did not have to raise fees to cover expenses this year. We are therefore asking that you PLEASE DO NOT USE STYROFOAM OR +6 plastic cups or containers because these cannot be recycled.
PARKING: Each participating Food Truck Vendor will be assigned a slot on a first come basis HOWEVER because we are doing our best to avoid duplicating kinds of food, not everyone who applies will be accepted.
CRITICALLY IMPORTANT, we want the experience of this event to be warm, welcoming, safe and efficient. To help, we have some suggestions we encourage you to incorporate.
1st. SPEED UP YOUR LINES. Please prepare a list of what you are offering with the prices to hand out to people in line; OR put your sandwich board with that info 6 or 8 people down so when people get to the front they will already know what they want; OR consider having someone work the line to and take orders so their food can be ready by the time they get to the front.
2nd. COMMUNICATE. If you run out of something, especially a favorite, let the people in line know before they order. Stay in contact with your runner so they can be in route with replacements BEFORE you run out.
3. KEEP 'EM HAPPY. Consider limiting your menu to your most popular items.

7. WILL MARKETING BE INCLUDED?
YES, we will use local and extended print and electronic media as well as social media to promote Oak Park's Great Food Truck Rally. Your participation will also be acknowledged and shared on our NEWS page. Flyers will be available to you for distribution to your followers and communities when we get closer to the day. Please also make yourself or a representative available for media interviews if requested.
8. WHAT ELSE MIGHT BE GOING ON AT THIS RALLY?
There will be seating for SOME of our guests, and music, both canned and live will go on the full day as well.
Bathroom facilities and hand washing stations are also provided.
VOTING. This year guests will have the chance to vote for their favorite food truck vendor and or food/beverage item.
